Creating Stamps – Examples

Example 1: Creating a Standard Page Numbering Stamp

You can create a stamp with any of the following types of standard page numbers:

  • Arabic numbers (1, 2, 3)
  • Lowercase Roman numbers (i, ii, iii)
  • Upper case Roman numbers (I, II, III)
  • Total number of pages (arabic)

Note: You can also create Bates numbering stamps. For information, see Creating a Bates Numbering Stamp.

To create a standard page numbering stamp

  1. Either create a new stamp file or open an existing stamp file to edit. See Creating a Stamp.

  2. Create a new stamp item. See To create a text stamp item.

  3. In the text field just below the Text tab, create the content for the stamp item.

Example: A Page n of n stamp item

Follow these steps to create the content for a page numbering stamp item, Page n of n, that uses arabic numerals and starts with page 1:

    • Click in the text field and type the word Page followed by a space.

    • In the drop-down selection list beneath the text field, select %<#>g – page number starting at …

Note: The code to the left of the dash describes the stamp item content as a programming instruction to StampPDF DE. The information to the right of the dash describes it in everyday language.

Tip! Once you are familiar with the codes in the drop-down list, you may wish to type them directly into the text field.

    • Click the Insert button.

    • In the dialog box that appears, enter the number 1.  The text field should now look like this:

      Page %1g

Note that the number 1 was substituted for the variable <#> in the entry on the selection list.

    • Type a space, the word of, and another space. The text field should now look like this:

      Page %1g of
    • In the drop-down list, select %G – total number of pages. The text field should now look like this:

      Page %1g of %G
  4. You can customize each stamp item in your stamp file by selecting options for appearance and placement, as well as choosing which document pages to stamp. Refer to Customizing a Stamp Item for instructions.

  5. Select File > Save StampFile to save your changes.

Example 2: Creating a Bates Numbering Stamp

You can create two different types of Bates numbering stamps:

  • Standard — The numbering restarts for each file
  • Consecutive — The numbering continues consecutively across multiple files

To create a Bates numbering stamp — standard

This example is a Bates numbering stamp that restarts numbering with each file. The stamp item is prefixed by “CaseABC”, is six digits long, and starts with the number 000001 in each file (for example, the first page will be numbered CaseABC000001).

  1. Either create a new stamp file or open an existing stamp file to edit. See Creating a Stamp.

  2. Create a new stamp item. See To create a text stamp item.

  3. In the text field just below the Text tab, create the content for the stamp item.

    • Click in the text field and type the prefix CaseABC.

    • In the drop-down selection list beneath the text field, select %<#>J – bates page number starting at …

    • In the dialog box that appears, enter 1 for the starting page number and 6 for the number of digits (6 is the default). The text field should now look like this:

      CaseABC%1J

Note that the number 1 was substituted for the variable <#> in the entry on the selection list. The number of digits is not shown, but you can always click the Insert button to view or change it.

  4. For Bates numbering applications, the defaults are usually satisfactory. The text is in a 12-point Helvetica font, is solid black, and is centered at the top of every page, overlaying any existing PDF content. However, you can customize your Bates numbering stamp by selecting other options for appearance and placement, as well as choosing which document pages to stamp. Refer to Customizing a Stamp Item for instructions.

  5. Select File > Save StampFile to save your changes.

To create a Bates numbering stamp — consecutive

This example is a Bates numbering stamp that numbers consecutively across multiple files.

  1. Follow Steps 1 through 4 in the instructions in the previous section, To create a Bates numbering stamp — standard.

  2. Click the Main tab. Click the Advanced Options button. Click the Bates Number PDFs Consecutively check box.

Note: If you enter a page number in the Start Bates Numbering using # field, it will override the starting page number you entered on the Stamp tab when you created the stamp item.  Leave the box unchecked and the field empty to use the page number you specified.

StampPDF DE will start numbering in the first file listed in the File List field and continue stamping consecutive numbers through the last page of the last file shown in the File List field.

  3. Select File > Save StampFile to save your changes.

Example 3: Creating Alternating Header or Footer Stamps

You can create stamps that apply different content to alternating pages. For example, you might want to stamp the bottom left of every even page with one type of content and the bottom right of every odd page with another type of content. To do this you would create a stamp with two stamp items: one for the bottom left footer and another for the bottom right footer. If you also wanted to stamp alternating headers, you would need two additional stamp items: one for the top left header and another for the top right header.

To create a left header text stamp item

  1. Either create a new stamp file or open an existing stamp file to edit. See Creating a Stamp.

  2. Create a new stamp item. See To create a text stamp item. For this example, name it Left Header.

  3. In the text field just below the Text tab, create the content for the stamp item.

Example: To have the word Preliminary stamped with the Left Header stamp item, type Preliminary.

  4. In the Placement area, select options to specify placement of the stamp item on the page.

Example: To place the stamp item at the top left of the page, on top of any PDF content, select the following:

    • Layer: Overlay
    • Justification: Left
    • Position: Top

The left justification and top position are based on the page margins, unless you override the page margins with stamp margins.

  5. In the Pages area, select options to specify the pages on which the stamp item should be applied.

Example: To place the stamp item on all even pages, starting with page 2, select Range and enter the following:

    • Start: 2
    • End: -1
    • Increment: 2

The End value of -1 indicates the last page.

  6. You can also change stamp item’s appearance options. See To customize the appearance of a text stamp item.

  7. Select File > Save StampFile to save your changes.

To create a right header text stamp item

  1. Either create a new stamp file or open an existing stamp file to edit. See Creating a Stamp.

  2. Create a new stamp item. See To create a text stamp item. For this example, name it Right Header.

  3. In the text field just below the Text tab, create the content for the stamp item.

Example: To have the document title stamped with the Right Header stamp item, in the drop-down selection list beneath the text field, select %i(Title) – info dictionary: Title, and then click the Insert button.

  4. In the Placement area, select options to specify placement of the stamp item on the page.

Example: To place the stamp item at the top right of the page, on top of any PDF content, select the following:

    • Layer: Overlay
    • Justification: Right
    • Position: Top

The right justification and top position are based on the page margins, unless you override the page margins with stamp margins.

  5. In the Pages area, select options to specify the pages on which the stamp item should be applied.

Example: To place the stamp item on all odd pages, starting with page 1, select Range and enter the following:

    • Start: 1
    • End: -1
    • Increment: 2

The End value of -1 indicates the last page.

  6. You can also change stamp item’s appearance options. See To customize the appearance of a text stamp item.

  7. Select File > Save StampFile to save your changes.

To create a left footer text stamp item

  2. Create a new stamp item. See To create a text stamp item. For this example, name it Left Footer.

  3. In the text field just below the Text tab, create the content for the stamp item.

Example: To have the local date stamped with the Left Footer stamp item, in the drop-down selection list beneath the text field, select %x – local date representation mm/dd/yy, and then click the Insert button.

  4. In the Placement area, select options to specify placement of the stamp item on the page.
